Administrative Assistant

Job Summary:

In addition to managing the day-to-day operations for the office of the Director of Finance and Revenue, this position provides support with short-term and long-term projects, coordinating communications and maintaining schedules/appointments. This person will work very closely with the Director of Finance and Revenue, providing assistance, insight, and support to the function of the department. 

Essential responsibilities include but are not limited to:

  • Providing administrative and operational support for the department, including establishing uniform correspondence procedures and styles, drafting correspondence, reports and remarks.
  • Coordinating and maintaining the schedule/calendar for the Director of Finance and Revenue; requires engaging people with diverse personality types (congregants, senior church leadership, and community members etc.).
  • Coordinating room reservations for department meetings and special events.
  • Preparing and ensuring the timely processing of all funds and payment authorization forms as well as check requests and petty cash requests.
  • Maintain a gracious and hospitable demeanor when greeting and interfacing with all visitors (congregants, employees and community guests).
  • Assisting with providing weekly, monthly, and yearly reports. 

Experience and Education Requirements:

  • Bachelor’s degree preferred.
  • 2 – 5 years’ experience as executive assistant to senior manager in non-profit desired.
  • Demonstrated ability to work with discretion within a confidential environment.
  • Ability to exercise good and independent judgment and decision-making. A go-getter attitude.
  • Excellent interpersonal skills.
  • Commitment to cultural diversity and sensitivity.
  • Excellent verbal and written communication skills.
  • Fluent in the use of Microsoft suite of products including Word, Excel, Power Point, and Outlook.
  • Demonstrated ability to prioritize multiple tasks to meet deadlines and project manage with excellence.
  • Demonstrated ability to interact in a collaborative manner with other ministries and teams that are diverse and large.
  • Strong critical thinking and problem solving skills required.
